Terms and Conditions
Effective date: September 14, 2026
Last updated: September 14, 2026
These Terms and Conditions ("Terms") govern access to and use of Cobrivo, a service operated by Ricardo Jorge Mendes Ramos (a natural person / sole trader operating under the COBRIVO trade name; the "Owner" or "we"), based in Medellín, Colombia. By creating an account or using Cobrivo, you accept these Terms.
Cobrivo is a collections management and follow-up tool: it helps you organize clients, members or unit owners, their invoices or dues, and send payment reminders. It is not a payment institution and does not process payments on behalf of anyone using it. See "What Cobrivo does and does not do" below.
1. Who can use Cobrivo
Cobrivo is aimed at freelancers, businesses, associations, clubs, academies, condominiums/homeowners associations, property managers, and any organization that needs to manage recurring or one-off collections from its own clients, members or unit owners.
To create an account you must have the legal capacity to enter into a contract and provide truthful, up-to-date registration information. You are responsible for keeping your login credentials confidential and for all activity carried out from your account.
2. What Cobrivo does and does not do
Cobrivo lets you: create and organize one or more organizations; register clients, members or unit owners; create invoices and dues with their due dates; import this information via CSV; set up and send payment reminders by email; and manually mark when a payment has been received.
Cobrivo does NOT perform automatic charges, bank direct debits, or direct card payment processing on behalf of your organization or your clients and members. Actual payment always happens through whatever means you and your clients or members already use outside Cobrivo; inside the app, you manually mark each payment's status.
The only billing Cobrivo processes directly is for your own subscription to the service (Pro or Business plans), handled through an external payment provider. See "Technical providers" below.
3. Accounts and organizations
Each account can create and manage one or more organizations. An organization's data (clients, members, invoices, dues) is only visible to people who have access to that organization within Cobrivo.
You can export your account's data or request deletion of your account from within the app at any time. See "Deleting and exporting your account" below.
4. Your clients', members' or owners' data
When you register your clients', members', unit owners' or partners' data in Cobrivo (name, email, and invoicing or dues information), you act as the controller of that data and Cobrivo acts as processor, handling it only to provide you the service: organizing the information and sending the reminders you configure.
You are responsible for ensuring the information you upload is accurate, keeping it up to date, and having a sufficient legal basis to hold it and to have Cobrivo use it to send communications on your behalf, as described in the next section.
5. Responsible use of reminders
The payment reminders Cobrivo sends go out on your behalf, under your organization's name as the sender. By using this feature, you represent and warrant that:
- You have a legitimate relationship (commercial, membership-based, or ownership-based) with every recipient you register, and the authorization needed to contact them by email for this purpose.
- You will not use Cobrivo to send unsolicited communications, spam, or messages to people who do not have a real outstanding balance or due with you or your organization.
- You will comply with any data protection and commercial-communications regulations applicable to you in your jurisdiction with respect to the recipients you register.
6. Technical providers
To provide the service, Cobrivo may rely on external technical providers, including: a transactional email provider to deliver reminders and notifications (for example, Resend), Paddle as Merchant of Record to manage sales, payments, indirect taxes, invoices and refunds for web subscriptions, RevenueCat for mobile in-app purchases, and infrastructure/hosting providers where the application runs and the database is stored.
These providers process data only to the extent necessary to provide their technical service to Cobrivo, and data is not shared with them for advertising purposes.
7. Plans and subscription billing
Certain Cobrivo features require a paid subscription (Pro or Business plans). Web subscriptions include a 7-day free trial and require a valid payment method. Unless you cancel before the trial ends, Paddle will automatically charge the recurring price for your chosen plan and billing period, including applicable taxes.
You may cancel the trial or subscription at any time from your profile before the next renewal. Cancellation prevents future charges but does not automatically delete your data or account. Refunds are governed by our Refund Policy and mandatory consumer rights.
8. Data retention
We retain your account's and organizations' data for as long as your account remains active. We run periodic backups of the information so it can be restored in the event of an incident; after an account is deleted, data may persist for a limited period in those backups until overwritten by the normal backup rotation cycle.
9. Security
Each organization within Cobrivo can only access its own clients, members and invoices, with this separation enforced at the database level, not just in the interface. We apply reasonable technical measures to protect information, without this implying certification to any specific security standard we have not formally verified.
10. Deleting and exporting your account
From within the app you can export a file with your account's and organizations' data, and request deletion of your account at any time by confirming your password. If you co-own an organization with someone else, you may need to resolve that first before deletion can complete.
11. Intellectual property
The software, the Cobrivo brand, and the materials on the site and app belong to the Owner or its licensors. These Terms grant you no rights over them beyond using the service as described here.
12. Limitation of liability
Cobrivo is provided "as is" and "as available". To the extent permitted by applicable law, we do not guarantee the service will be free of interruptions or errors, and we are not liable for business, collection, or communication decisions you make using the information or reminders managed through Cobrivo.
We do not claim any certifications, legal guarantees, or specific regulatory compliance that we have not formally verified; any mention of security or good practices in this document describes actual technical measures, not an external certification.
13. Changes to these Terms
We may update these Terms to reflect changes to the service or to legal requirements. We will post the last-updated date on this same page; continued use of Cobrivo after an update means you accept the revised Terms.
14. Governing law
These Terms are governed by the laws of the Republic of Colombia. Any dispute will be submitted to the competent courts of Medellín, Antioquia, without prejudice to any mandatory consumer-protection rules that apply.
15. Contact
